Email marketing in 2026: why newsletters are indispensable

Email marketing is one of the cheapest marketing channels: a newsletter to 1,000 contacts costs between €0 and roughly €30 a month with the tools compared here – and, unlike paid advertising, there is no wasted spend. Newsletters are no relic of the past but an indispensable tool for businesses of every size.

The key advantage: your email list belongs to you. Unlike Instagram followers or Facebook fans, these contacts cannot be taken away from you by an algorithm change. A well-maintained mailing list is a direct line to your customers – with no wasted reach and no advertising cost per impression.

Market overview 2026

Almost all providers now build AI features (subject lines, copy, send-time optimisation) into their plans. At the same time, pricing models differ more than they used to: CleverReach, rapidmail, KlickTipp and GetResponse charge by contacts, while Brevo and Mailjet charge by email volume (with contact limits on the smaller tiers). If you want your data stored in the EU, CleverReach, rapidmail and KlickTipp (Germany) as well as Brevo and Mailjet (EU) are suitable providers.

GDPR and newsletters: what you need to know

Since the GDPR (General Data Protection Regulation, or DSGVO in German) became applicable in May 2018, choosing the right newsletter tool has been more than a question of cost – it is a legal necessity. Infringements can result in fines of up to €20 million or 4% of annual turnover.

The 5 GDPR obligations for newsletters

  1. Double opt-in: subscribers confirm their sign-up with a click – the usual way of being able to prove consent (Art. 7(1) GDPR)
  2. Data processing agreement (DPA, “Auftragsverarbeitungsvertrag” or AVV in German): must be concluded with the tool provider
  3. Unsubscribe link: every email must contain a working unsubscribe link
  4. Data minimisation: collect only the data you need (an email address is enough)
  5. Documentation: consents must be stored in a provable way

Note: US providers and the GDPR

Mailchimp and ActiveCampaign are US providers and process data in the USA. Since July 2023 the EU-US Data Privacy Framework has provided an adequacy decision from the European Commission again – but it only applies to certified companies (verifiable at dataprivacyframework.gov); otherwise you need standard contractual clauses plus a transfer impact assessment. A DPA is required in every case. For maximum legal certainty we recommend providers with EU or German servers such as CleverReach, Brevo or rapidmail.

What does a newsletter tool cost?

Prices vary widely – from free to well over €100 per month. The biggest cost factor is the number of contacts on your list; at Brevo and Mailjet it is the monthly email volume:

ProviderFree plan1,000 contacts10,000 contactsVATGDPR
CleverReach250 recipients, 1,000 emails/mo€20/mo (Basic)€129/mo (Pro)¹excl. VAT✅ DE
Brevo300 emails/day€14/mo (Starter, 10,000 emails)²€28/mo (Starter, 20,000 emails)²n/a✅ EU

GetResponseFree account (limited)€16/mo (Starter)via price calculator onlyexcl. VAT✅ EU
KlickTipp–€30/mo (Standard)from €170/mo + from €699 setup fee (Enterprise)excl. VAT✅ DE

ActiveCampaign–from $15/mo (Starter, billed annually)via price calculator onlyn/a⚠️ US

Monthly billing, as of October 2026 (providers’ pricing pages). ¹ CleverReach Basic is only available up to 5,000 recipients. ² Brevo and Mailjet charge by email volume; the contact limits of the small tiers (Brevo Starter: 1,500 contacts at 10,000 emails, Mailjet Starter: 2,000 contacts) are taken into account. “n/a” = the pricing page gives no information on VAT.

Money-saving tip

Brevo and Mailjet charge by emails sent rather than by contacts alone. If you have a large list but only one or two mailings a month, this is often much cheaper: 10,000 contacts with two newsletters a month cost €28 at Brevo, versus €129 net for CleverReach Pro. With weekly sending the advantage shrinks, because the email volume grows too.

Cost example: 2,500 contacts, one newsletter a week

A typical case for small shops and service providers: 2,500 contacts, four newsletters a month – roughly 10,000 emails per month. Here is what that costs with monthly billing (list prices, October 2026):

Provider / planper monthper yearNote
Mailjet Essential€18€216Starter is not enough (max. 2,000 contacts, 8,000 emails)
Brevo Starter (15,000 emails)€21€252Brevo prices scale linearly (10,000 emails €14, 20,000 emails €28); the 15,000 tier allows 2,500 contacts, the 10,000 tier only 1,500; logo removal +€9
KlickTipp Standard€30 net€360 netup to 2,500 contacts, unlimited sending
rapidmail Essential€35€4201 automation included
CleverReach Basic€39 net€468 netunlimited emails; A/B tests only on the Pro plan (€45)

Annual figures = monthly price × 12. With annual prepayment the price drops by 10% at CleverReach, Brevo, Mailjet and KlickTipp, and by 18% at GetResponse (KlickTipp by 20% with two-year payment).

The example shows that the lowest entry price says little. What matters is which tier fits your contact count and sending frequency – and whether features such as automations, A/B tests or removing the provider’s logo are included in the plan you choose.

Marketing automation: the game changer

Marketing automation turns a simple newsletter tool into a sales machine. Instead of sending every email by hand, you set up automated workflows once, and they then work for you around the clock:

  • Welcome series: 3–5 emails that automatically onboard new subscribers
  • Abandoned carts: reminds customers of products they left behind (requires a shop integration, e.g. Shopify or WooCommerce)
  • Birthday emails: automatic greetings with a discount voucher
  • Lead scoring: automatically rates how ready a contact is to buy
  • Re-engagement: automatically reactivates inactive contacts

Particularly well-developed automation comes from ActiveCampaign (multi-step automation even in Starter from $15/mo), GetResponse (1 custom workflow in Starter, unlimited workflows from Marketer at €54 net) and KlickTipp (tag-based, popular with coaches and consultants). Watch the plan limits: at Brevo unlimited multi-step workflows only come with Standard (€15/mo), at CleverReach unlimited automations only from Pro (from €18 net), at Mailjet automations only from Premium (€27/mo), and rapidmail tiers them 1 / 5 / unlimited by plan.

Choosing the right provider

The choice depends on your specific requirements:

GDPR priority

→ CleverReach or rapidmail: German servers, German-language support, built-in DPA.

Budget tip

→ Brevo or Mailjet: generous free plans, paid plans from €7 and €8 a month respectively.

Automation pro

→ ActiveCampaign: highly developed workflow builder, CRM available.

Beginners

→ Brevo or rapidmail: easy to use, free or low-cost entry.

What to check before signing up

Providers’ pricing pages are hard to compare. Clarify these points before you sign up:

  • Billing basis: contacts or emails? With contact-based plans, all addresses in the account usually count – including unsubscribed ones if you do not delete them. According to its own statement, KlickTipp counts recipients with several addresses only once.
  • Tier jumps: if your list outgrows its tier, the next plan is billed automatically. At CleverReach, Basic ends at 5,000 recipients; at KlickTipp the Enterprise plan (from €170 net plus setup) starts at 7,501 contacts.
  • Net or gross: CleverReach, KlickTipp and GetResponse state their prices explicitly as net – for private individuals and small businesses that cannot deduct input VAT (including “Kleinunternehmer”, businesses exempt from charging VAT), 19% VAT comes on top. According to its pricing page, CleverReach is aimed exclusively at business customers (§ 14 of the German Civil Code, BGB).
  • Provider logo: free plans almost always carry a logo in the footer. At Brevo it only disappears from Standard or for a €9/mo surcharge on Starter; at Mailjet from Essential.
  • Annual billing: 10% discount (CleverReach, Brevo, Mailjet, KlickTipp) or 18% (GetResponse) – only worthwhile if list size and needs are stable, because you pay up front.
  • DPA and server location: have the data processing agreement made available in your account and check where data is stored – this matters above all with US providers.

Frequently asked questions (FAQ)

Which newsletter tool is GDPR-compliant?

CleverReach, rapidmail and KlickTipp host on German servers and are fully GDPR-compliant. Brevo, GetResponse and Mailjet use EU servers. Mailchimp and ActiveCampaign store data in the USA – additional measures (SCCs + TIA, i.e. standard contractual clauses and a transfer impact assessment) are required there.

What is double opt-in and do I need it?

Yes, in Germany double opt-in is the standard: the law does not literally prescribe the procedure, but you must be able to prove that every recipient has consented (Art. 7(1) GDPR) – and in practice that is only possible this way. The process: the user signs up → receives a confirmation email → clicks the link → only then is added to the list. All the tools compared support double opt-in out of the box.

How much does a newsletter tool cost?

Many tools offer free entry plans – from 250 contacts (CleverReach, Mailchimp) up to Brevo with up to 100,000 contacts but only 300 emails a day. For 1,000 contacts, the compared providers cost between €8 and €30 per month (Mailjet €8, Brevo €14, GetResponse €16 net, CleverReach and rapidmail €20, KlickTipp €30 net). For 10,000 contacts the range runs from €28 (Brevo, two mailings) through €92.50 (rapidmail) and €129 net (CleverReach Pro) to over €170 net (KlickTipp Enterprise).

Can I switch from Mailchimp to an EU provider?

Yes, all newsletter tools offer export and import functions for your contact list. Switching usually takes only 1–2 hours. Important: also export the proof of consent (opt-in date) for your GDPR documentation.

Which tool is best for beginners?

Brevo offers a very affordable start: a generous free plan (up to 300 emails a day) and an intuitive editor; full automation comes with the Standard plan at €15/mo. For maximum GDPR certainty with German-language support, CleverReach and rapidmail, with servers in Germany, are an obvious choice.

Are the prices net or gross?

It varies. CleverReach, KlickTipp and GetResponse explicitly state their prices as net amounts – 19% VAT is added (so KlickTipp’s €30 becomes €35.70). Brevo, Mailjet, rapidmail and Mailchimp give no clear information on their pricing pages; check the final price in the checkout. This hardly matters for businesses that can deduct input VAT, but it does for private individuals and small businesses.

Can I send newsletters without a subscription?

Yes. Besides monthly plans, rapidmail offers pay-per-send billing with no contract term; according to the provider, the first send to up to 2,000 recipients is free. For infrequent mailings, the permanent free plans of CleverReach (250 recipients), Brevo and Mailjet are also an option – though with the provider’s logo in the newsletter.
